Unified Factory Projects (UFP) serves the purpose of automation and unification of sales and customer service processes in their full scope: from document management, central storage and access to documentation, joined access to projects and tasks to communication and employment management tools.

Document Management and Workflow


The WorkFlow system is made to support work shared among employees who perform a defined set of algorhitmitized activities related to document flow or carrying out consecutive activities in specific processes.
The module allows for defining and monitoring roles fulfilled by actors of the workflow and statuses of documents and tasks within the workflow.


Examples of use:

  • Complaint and return management – recording complaints, distributing automated notifications regarding the status of complaints and workflow,
  • Approval and settlement of invoices within companies, where many employees are authorised to make purchases and assign invoices before they are recorded in the workflow system,
  • Initiating internal projects within the organization: approval and communication process between departments: preparation of documents related to project launch, approval of activities and budgets,
  • Reservation of resources necessary to carry out the project,
  • Managing correspondence with customers within a company; registering, redirecting to particular employees, resolving issues arising from correspondence, especially within organizations which have clients who prefer traditional paper-based correspondence,
  • Communication along the lines of operational processes carried out between company departments.

Recruitment, Training and Employee Evaluation


A solution, which facilitates the process of employee recruitment, processing their selection, gathering documentation, induction training and contract preparation.
The Employee module is particularly recommended for companies which recruit many basic level employees. These may include companies, which hire seasonal workers (multiple people are hired within the production season, then they have to be laid off and hired again for the following season).





Functionalities of the Employee Module:

  • Gathering data from recruitment portals,
  • Managing candidate data,
  • Simple online hiring, induction training and contract documentation management,
  • Managing employee development processes
  • Communication with registered candidates or employees through e-mail or text messages
  • Periodical employee and quality of work evaluations.

Analysis of Selected Processes Within the Company


The Partner Module allows only the authorised operators assigned to this process to management and modeling of the process.
In practice it means, that e.g. the person responsible at the given company for managing the process (e.g. invoice settlement) may modify the process within the WorkFlow module, add or remove actors of the process, change their settings, analyse data resulting from the process in general and in detail (e.g. average duration of the given process, information about the individuals who cause delays in the process, statistics of open and closed cases.)
The Partner Module also allows for systematic notification of participants of a given process about events in the work flow, which are assigned to them (e.g. “a new repair job”, “candidate documentation complete – please verify”).





Central Repository


The Knowledge Base module is particularly recommended for companies which demonstrate a need for maintaining a high level of knowledge among a certain group of employees. The structure of the knowledge base can be modified as required. The module allows for efficient search for the required information or document within the database (by name, by keywords within contents or by tags assigned to documents).


How a company can take advantage of the Knowledge Base module:

When knowledge changes often:
Some organizations require for new information to be distributed often to large groups of employees. The Knowledge Base Module allows for a particular resource along with real time updates to be made available to a defined group of recipients.

Current documents:
The Knowledge Base Module allows for current document templates to be shared with employees or partners (e.g. contracts, terms, procedures).

Catalog structure:
The documents within the knowledge base may be gathered and shared in part or in full with selected employees, in accordance with their user rights.
